Frequently Asked Questions
Find answers to common questions about our services, technical capabilities, project workflow, and cooperation.
General
How do civil engineering design outsourcing services lower our operating costs?
Outsourcing gives you additional design and drafting capacity without the fixed cost of hiring and maintaining extra full-time staff. It can reduce expenses related to salaries, benefits, office space, hardware, software licenses, training, and recruitment. You can increase production capacity while keeping more of your internal resources focused on engineering decisions, project management, and client relationships.
Who will be our main point of contact?
Each client has a clear point of contact responsible for coordination, priorities, and communication with your team.
What are your working hours and time zone coverage?
Our team is based in Serbia, Central European time. We organize our working day to provide several hours of overlap with U.S. business hours for meetings, questions, and coordination. Regular meeting times can be arranged around the needs of your team.
Can we review your previous experience or see case studies before starting?
Yes. We can share relevant examples of completed land development, roadway, grading, drainage, utility, and Civil 3D work before you start. Where confidentiality allows, we can also show examples that are similar in scope to the type of projects you expect us to support.
Which regions or states have you worked in?
Our team has supported civil engineering projects across numerous U.S. states and several international markets. Our U.S. experience includes land development and infrastructure work across different local standards, climates, and permitting environments. We approach every new jurisdiction by working from the client's engineering direction and applicable project standards rather than assuming requirements are the same everywhere.
Do you have client references we can contact before starting?
Yes. Upon request, we can provide contact information for selected current or past clients who can share their experience working with our team. We coordinate this in advance to make sure the reference is comfortable being contacted.
Security & Confidentiality
How is our project information protected?
We can sign an NDA and limit project access to the team members assigned to your work. Files can be exchanged through your preferred environment, including Google Drive, SharePoint, OneDrive, Dropbox, Autodesk Construction Cloud, or another approved system. We are also comfortable working directly inside a client's existing file-sharing environment when required.
Do you sign NDAs, and how do you ensure the security and confidentiality of our data?
Yes, we can sign NDAs and confidentiality agreements before project information is shared. Access to project files is limited to the people assigned to the work, and we can operate within your existing Teams, SharePoint, OneDrive, Autodesk Construction Cloud, or other approved project environment. Client information and project files are not shared outside the authorized team.
Pricing & Payment
How do you charge for your services?
We prefer to work on an hourly basis because it gives both sides flexibility as project needs evolve. For clearly defined scopes, we can also work on a fixed-fee basis, and for ongoing partnerships we can arrange monthly dedicated capacity or team support. We agree on the pricing model before work begins.
Can we evaluate your service through a free trial?
For companies considering a long-term partnership, we can arrange a small trial assignment at no charge. The goal is to let you evaluate our drawing quality, communication, and ability to follow your standards before committing to a larger engagement. The trial scope and expected deliverable are agreed in advance.
What are your payment terms?
For hourly work, we issue invoices at the beginning of the following month based on the hours worked during the previous month. For fixed-price projects, the invoice is issued once the project has been completed and accepted by the client. All invoices are due within 30 days.
Is there a minimum project size?
No. We can support projects of any size, from small assignments to large, multi-phase developments.
How many revisions are included in the price?
For hourly engagements, revisions are simply part of the time spent on the project. For fixed-fee work, normal review comments within the agreed scope are included, while major design changes or additional scope are handled separately. We define this clearly before starting, so there is no ambiguity about what the fee covers.
Getting started
How do we get started and share files with you?
Send us the project scope together with the available project files and any relevant standards or examples. You can share files using whatever platform your team already uses, such as Google Drive, SharePoint, OneDrive, Dropbox, Autodesk Construction Cloud, or a similar system. We review the material, send any initial questions, and then confirm the scope, workflow, and next steps.
Will your team be available for Zoom meetings during our 9 AM to 5 PM ET working hours?
Yes, we maintain several hours of overlap with U.S. working hours and regularly schedule calls during the Eastern Time business day. Recurring coordination meetings can be arranged around your team's schedule. We do not normally staff the entire 9 AM to 5 PM ET window, but we make sure there is practical overlap for communication and project coordination.
How long does onboarding typically take?
Basic onboarding can usually be completed within a few days once we have access to your standards, templates, sample projects, and file-sharing environment. The first project also serves as part of the onboarding process because it helps both teams align on communication, expectations, and review procedures. After that, future projects require much less setup.
Quality and responsibility
Which file formats can you provide?
We typically deliver native AutoCAD and Civil 3D .dwg files together with PDF plan sets and supporting project files. Depending on the scope, we can also provide templates, LandXML data, quantity files, model exports, and other required formats. We confirm the required deliverables and file versions before starting.
How do you maintain consistent drawing quality?
We use internal QA/QC checklists before work is sent to the client and follow your templates, standards, and standard project practices. Review comments and lessons from previous projects are incorporated into our checklists and carried forward into future work with the same client. The goal is not only to produce correct drawings, but to produce consistent deliverables that match the way your firm works.
How do you manage large or multi-phase development projects?
Large projects are divided into clear scopes, milestones, and review stages rather than being treated as one large final delivery. We coordinate Civil 3D models, plan production, revisions, and internal QA/QC throughout the project. Key stages are shared with your engineering team when input or engineering decisions are needed.
Do you provide engineering design or PE stamps, or do our engineers remain responsible for design, review and sealing?
We provide civil engineering design and drafting support, but we do not act as the U.S. Engineer of Record or provide a U.S. PE stamp. Your licensed engineers retain responsibility for final engineering decisions, review, approval, and sealing of the documents. We work under their direction and provide the production capacity needed to develop the design and plan set.
Can you work white-label under our company name?
Yes. We commonly work behind the scenes as part of the client’s production team and can use your templates, title blocks, standards, and project environment. Your relationship with your end client remains yours, while our role is to support your engineering and production process.
What if we are not satisfied with a deliverable?
Tell us what is not meeting your expectations and we will review it with the team responsible for the work. We address valid comments and make the required corrections as quickly as practical. More importantly, we identify why the issue occurred so it is not carried into future projects.
Can your team handle redlines and drawing revisions?
Yes. We regularly work from engineering redlines, PDF markups, review comments, and revised design direction. We address comments, update the drawings and Civil 3D models, and continue through the review cycle until the agreed deliverables are complete.
Capacity and scalability
How do you handle sudden increases in workload or rush deadlines?
We first review the scope and our available capacity before committing to a rush schedule. When possible, we can reallocate team resources or add additional people to increase production capacity. We prefer to give a realistic delivery commitment rather than accept a deadline that we do not believe we can meet.
What is your typical project backlog?
Our backlog changes continuously, so we do not publish a fixed number of weeks or projects. Before accepting an assignment, we confirm the realistic start date and the capacity we can dedicate to it. For long-term partners, recurring capacity can be planned or reserved so every project does not have to compete for availability.
Contracts and Legal
What happens to the intellectual property of the drawings?
Our intent is that project-specific drawings, models, and deliverables prepared for your project belong to the client once the contractual and payment obligations are satisfied. Pre-existing tools, templates, workflows, and reusable internal know-how remain separate from project-specific intellectual property.
Can you take over work from another outsourcing provider?
Yes. We can review the existing DWG files, Civil 3D models, PDFs, markups, data shortcuts, and supporting project information and continue from the current stage. Before production starts, we identify missing references, broken model relationships, standards issues, or other items that could affect the handover.
How quickly can you complete a project?
Turnaround depends on the project scope, complexity, available information, and required review cycles. Before we start, we review the scope and agree on realistic milestones and delivery dates. For larger projects, we typically deliver progress in stages rather than waiting until the entire plan set is complete.
